Hello, I have a cleaning on Thursday at 9:00, but I can’t make it. Can I move it?

Of course, Marta. Next Tuesday at 9:30 or Wednesday at 17:00 is free with your hygienist. Which one suits you?
07:58
Wednesday at 17:00, please. Also, my tooth has been hurting a bit since yesterday.

I have asked our team to move you to Wednesday at 17:00, and they will confirm it shortly. I have also passed on your message about the pain, and someone will call you today.

Use cases

Agents for the front desk

Your reception team spends much of the day on the phone and in the inbox. These agents take the routine part.

Appointment booking

Offers free slots, books, moves and cancels appointments in line with your rules, and fills gaps from a waiting list.

Reminders and recalls

Sends appointment reminders and check-up recalls, asks patients to confirm and frees up slots when they cannot come.

Practical questions

Answers questions about opening hours, the prices you publish, parking, the insurers you work with and how to prepare for a visit.

Intake and forms

Sends intake and consent forms before the visit, checks they are complete and reminds patients who have not filled them in.

Careful hand-over

Recognises symptoms, urgent requests and complaints, and passes them straight to your staff with a short summary.

Example workflow

From message to appointment

An example of how a patient request can flow. Every step follows your rules.

Step 01

Patient writes

On WhatsApp, by email or in website chat, in their own language.

Step 02

Request understood

The agent checks your calendar and your rules for that treatment.

Step 03

Slot prepared

It proposes times and prepares the booking or the change.

Step 04

Staff in the loop

Anything medical is passed on at once. Your team sees a summary of every conversation.

Where the line is

Medical decisions stay with your clinicians

The agent handles

  • Booking, moving and cancelling appointments
  • Reminders, recalls and confirmations
  • Practical questions about visits
  • Collecting forms before the visit

A person stays responsible for

  • Any medical advice or diagnosis
  • Urgent symptoms and triage
  • Treatment plans and quotes
  • Complaints and sensitive situations

The agent does not give medical advice. For anything that sounds urgent, it tells the patient to contact the clinic or emergency services, using wording you approve.

Sends reminders and recalls, collects forms and keeps your calendar tidy.

Clear clinic website

Treatments, the prices you publish, your team and opening hours as clear text, with schema.org markup and online appointment requests.

How we start

From first call to a working assistant

Step 01

A 20-minute call

You tell us where the time goes. We point out the one task an assistant could take first.

Step 02

We map one task together

We write down the steps, the rules and the moments where a person should say yes.

Step 03

Build and test in 2–3 weeks

We build the assistant, connect it to your tools and test it on real examples with you.

FAQ

Questions we often hear

Can it work with our practice management software?

Often, but it depends on the software and the access it allows. We look at your tools on the first call and tell you honestly what can be connected and what cannot.

How is patient data protected?

Health data needs extra care. We use only what the task needs, agree with you where data is stored and who can access it, and set everything up in line with GDPR and your own policies before going live.

What happens if a patient describes symptoms?

The agent does not assess symptoms. It passes the message to your staff straight away, and for anything that sounds urgent it shows the guidance you have approved, such as calling the clinic or emergency services.

Do patients know they are talking to an assistant?

We recommend telling them. The agent can say clearly that it is an assistant, and it hands over to a person whenever a patient asks.

How long does it take, and what does it cost?

Your first assistant is ready in 2–3 weeks. The price is agreed per project after a short call, and you pay only if it saves your team time.
